This Privacy Policy explains how Civic Fleet Services LLC, a Utah limited liability company ("Civic Fleet Services," "we," "us"), handles information collected through civicfleets.com (the "Site"). It covers the Site only. Information that customers put into the Civic Fleet Services fleet management software is covered by our Terms of Service and Data Agreement.
What we collect
When you download a template. If you request a free template, we collect:
- your email address
- your name, if you choose to give it
- which template you asked for and the page you were on
- the date and time of your request
- your browser's user agent (a short technical description of your browser and device)
- the consent wording you saw and whether you checked the opt-in box, so we can show what you agreed to
When you ask to hear about our software. If you fill out our interest form to be notified when our fleet management software launches, we collect your name, email address, and organization, the date and time of your request, your browser's user agent, and the consent wording you saw and whether you checked the opt-in box, so we can show what you agreed to.
When you email us. If you email us, we get your email address and anything you include in your message.
When you buy a digital product, Gumroad, Inc. processes your payment and checkout information under its own privacy policy and shares your order details with us (your name, email, organization, and checkout answers). We use them to deliver and support your purchase, keep license records, and meet our legal and tax obligations.
Automatically. Our Site is hosted on GitHub Pages, and our template files are stored on Google Drive. Like most web hosts, those providers may log technical information such as your IP address and browser type when you visit or download a file. We don't use analytics tools, advertising trackers, or cookies of our own on the Site.
How we use it
We use this information to:
- give you the template you asked for
- let you know when our fleet management software is available, if you asked us to
- send you occasional fleet resources and updates, but only if you checked the box
- reply to you when you contact us
- understand which resources are useful and improve the Site
- keep the Site secure and prevent abuse
We don't sell your information, and we don't share it with others for their own marketing.
Who handles it for us
We use a small number of service providers to run the Site:
- Google (Google Apps Script, Google Sheets, and Google Drive) receives and stores template requests and interest form submissions and hosts the template files.
- GitHub (GitHub Pages) hosts the Site.
These providers process information under their own terms and privacy policies. We may also disclose information if the law requires it, to protect our rights or the safety of others, or as part of a sale or reorganization of our business.
Emails and unsubscribing
If you opt in, every resource email will include a way to unsubscribe, and we'll honor your request promptly. Unsubscribing from resource emails doesn't affect any template you've already downloaded.
How long we keep it
We keep template request and interest form records for as long as we need them for the purposes above, generally no longer than 3 years after your last request or contact, unless you ask us to delete them sooner or the law requires us to keep them longer.
Your choices
You can ask us to see, correct, or delete the information we have about you, or to stop sending you emails. Email dyates@civicfleets.com and we'll respond within a reasonable time, generally within 30 days.
Security
We use reasonable measures to protect the information we collect, including access controls on the accounts that store it. No method of transmission or storage is completely secure, so we can't guarantee absolute security.
Children
The Site is meant for public agency staff and other professionals. It isn't directed to children under 13, and we don't knowingly collect their information.
Public agency visitors
If you're a public employee, any messages you send us from a government account may be subject to your agency's public records laws. That's controlled by your agency, not by us.
Changes
If we update this policy, we'll post the new version here with a new effective date. If a change materially affects how we use information we've already collected, we'll give notice on the Site or by email before it applies.
